Job Description:
This highly successful and regarded law firm is seeking an experienced and motivated Legal Office Administrator to join their Houston team. As the Legal Office Administrator, you will play an instrumental role in the day-to-day operations of their law office. You will oversee administrative support, office management, and some financial operations.
Responsibilities:
- Manage onboarding of new employees including job postings, interviewing candidates, negotiating salary terms, new hire paperwork and reporting requirements, and establishing a work station and obtaining the necessary hardware and software.
- Manage and coordinate administrative functions, to include payroll and 401K
- Oversee the smooth functioning of the front office, including reception, phone calls, scheduling, mail, and courier services
- Develop and implement policies and procedures for the efficient operation of the office
- Maintain office supplies, equipment, and facilities to ensure a clean, professional, and functional work environment
- Provide support to attorneys, paralegals, and other staff members as needed
- Hold quarterly staff meetings
Requirements:
- A minimum of 5 years of experience in professional office administration, preferably in a law firm environment
- In-depth knowledge of legal office management a plus
- Proficient in MS Office Suite, billing software, and document management systems
- Excellent communication and interpersonal skills, with the ability to interact professionally with clients, attorneys, and staff
- Exceptional organizational and problem-solving skills
- Bachelor’s degree in Business Administration, Legal Studies, or related field is preferred
- SHRM-CP, SHRM-SCP, PHR, or SPHR a plus
